The Corporate Lead Capture Playbook

A photo booth at a corporate event can be a nice amenity or a measurable acquisition channel. The difference is entirely in how you configure the flow. Here is the playbook we run for Atlanta brand activations.

Decide the metric before you decide the booth

Marketing teams that treat the booth as entertainment get entertainment. Teams that define a metric first — opt-ins captured, qualified emails, social impressions, badge scans — get a channel. Pick one primary metric and one secondary. Everything downstream, from screen copy to attendant script, follows from that choice.

If your metric is opt-ins, optimize for a short form and a fast delivery. If it is impressions, optimize for a share-ready format like 360 or VideoFX with a branded overlay. If it is pipeline, connect the capture to your CRM before the doors open, not the week after.

Design the capture flow for ten seconds of attention

  • Ask for one field. Email or phone — not both, not company size, not job title.
  • Put the consent checkbox on screen in plain language, checked by the guest and never pre-checked.
  • Deliver by text and QR instantly, because delivery is the reward for the opt-in.
  • Send the branded gallery link in the same message so the follow-up has somewhere to go.

Every field you add costs you conversions. We have watched two-field forms cut completion noticeably compared to a single field. Collect the minimum at the booth and enrich later from your own systems.

Brand the output, not just the booth

A vinyl wrap on the booth is seen by people at the event. A branded template on the photo is seen by everyone that photo reaches. Put your logo, event hashtag and a short URL on the asset itself. Keep it to a corner strip or lower third so the guest is still the subject — heavy-handed branding is the fastest way to kill sharing.

For multi-day conferences, change the overlay per day. It gives your team a clean way to segment which sessions drove which captures without any extra tooling.

Staff it like a booth, not a kiosk

Every collection includes a professional attendant, and the attendant is your conversion rate. A good attendant does three things: invites passersby in by name badge, poses the group so the output looks good, and says the one sentence about your product that your team wrote in advance. Give us that sentence. We will deliver it hundreds of times.

Follow up within 48 hours

The gallery link is your excuse to email. Send it within two days while the event is still a memory, with a single call to action underneath. Open rates on 'here are your photos' emails outperform almost anything else a brand sends, and the click naturally lands on your domain.

Segment the list by capture day or activation and hand it to sales with context: which event, which booth, which day. A lead that says 'met us at the Fintech Summit AI headshot lounge' converts differently than an anonymous form fill.

Which experience for which goal

For volume and giveaway pairing, an open-air or DSLR booth serves the most people per hour. For a professional deliverable that attendees genuinely want, the AI Portrait Booth produces themed headshots in under a minute. For social amplification, 360 or VideoFX. For a trade show where you need a conversation starter with a long dwell time, an audio guestbook is an unexpectedly strong choice.

Travel within 60 round-trip miles of Atlanta is included, a 50% non-refundable booking retainer holds your date, and the balance is due 14 days before the event. Send us your floor plan and your metric, and we will build the flow around the number you have to report.
